Spreadsheet replacement

The spreadsheet that runs the business deserves a real system

We turn the spreadsheets your operation actually runs on into a web application: one source of truth, roles, validation, an audit trail, and connections to the tools around it. Built from your files, not a template.

Spreadsheets are for analysis, not operations

Excel is excellent at what it was built for. The trouble starts when a file becomes the dispatch board, the engagement tracker, or the inventory ledger, and six people depend on it every day.

If more than two of these sound familiar, the spreadsheet has become a system, and it is time to build it as one.

  • Several versions of the same file, and a weekly argument about which one is right
  • One person can edit at a time, so everyone else emails changes to them
  • A typo in a cell goes unnoticed until a customer or an auditor finds it
  • No record of who changed what, or when
  • The file is slow to open and slower to filter
  • It cannot talk to accounting, dispatch, or anything else you run

What changes

The screens look like the spreadsheet your team already knows. What is underneath is different.

One record, many views

Everyone works from the same data. Managers see the summary, staff see their queue, clients see their status.

Rules instead of hope

Required fields, valid ranges, and business rules enforced on entry, so the error never reaches the report.

Roles and an audit trail

Who can see and change what is explicit, and every change is logged with a name and a time.

It connects

QuickBooks, DocuSign, e-mail, your dispatch or practice tools. Data moves between systems without re-keying.

Still exports to Excel

Any view exports to Excel or CSV in one click. The spreadsheet becomes an output, not the system.

Works on a phone

Field staff enter data where the work happens instead of on a laptop at the end of the day.

How the conversion runs

01

Map the spreadsheets

We go through every tab, formula, and workaround with the people who use them, and write down what the spreadsheet is actually for.

02

Design the data

The columns become a proper data model with relationships, so the same customer or job is not typed twelve times.

03

Build the application

Screens that match how people already think about the work, with the formulas and rules carried over and tested against real data.

04

Migrate and go live

Historical data loaded and reconciled against the old files. Training on the real system. The old spreadsheets go read-only.

In production

Where the spreadsheets came from

A CPA firm's engagement tracker, a charter operator's dispatch board and reservation log, and a driver schedule that lived in a shared file all became platforms described on the work page.

  • 500+ audit and tax engagements tracked on one platform instead of spreadsheets and email
  • Reservations that flow from online booking into dispatch without re-entry
  • Trip-based invoicing synced to QuickBooks
  • Driver assignments acknowledged in an app instead of a text thread

Questions people ask

How long does it take?

A single-department spreadsheet system typically takes 8 to 12 weeks from kickoff to go-live, with working screens to click through by week two. Multi-department systems with integrations take 12 to 16 weeks.

Will our formulas and calculations survive?

Yes. Every formula and business rule is carried into the application and tested against last year's numbers before go-live, so you can see the two systems agree.

Can we still export to Excel?

Every list and report exports to Excel or CSV. Analysis, ad-hoc pivots, and sharing with people outside the system still happen in a spreadsheet; the system of record does not.

How is it priced?

As one fixed price for a written scope, decided before any work starts. One department is at the lower end; a firm-wide system with a portal and several integrations is at the upper end. Send us the spreadsheet and you will have a number within days. You own the code.

Tiers and managed hosting plans are on the engagements page.

Send us the spreadsheet

A screenshot or a blank copy is enough to start. We will come back with questions, a rough scope, and a price range.
